In week two, build an optimal schedule. Lock everything into place in fifteen- to thirty-minute blocks. Some tasks will take multiple blocks or entire days. Fine. When you work, only work on one thing at a time, think about the task in front of you and pursue it relentlessly. When it comes time for the next task on your schedule, place that first one aside, and apply the same focus.

I suggest you use the Pomodoro technique, a productivity method developed by Francesco Cirillo based on the idea that the optimal time for a task is 25 minutes, followed by a 5-minute break.2 Each 25-minute chunk is called a “Pomodoro.” As you read this book, I suggest that you read for one Pomodoro and then take a 5-minute brain break before continuing.

here’s my 8-step process for maximizing efficacy (doing the right things): Wake up at least 1 hour before you have to be at a computer screen. Email is the mind-killer. Make a cup of tea (I like pu-erh) and sit down with a pen/pencil and paper. Write down the 3 to 5 things — and no more — that are making you the most anxious or uncomfortable. They’re often things that have been punted from one day’s to-do list to the next, to the next, to the next, and so on. Most important usually equals most uncomfortable, with some chance of rejection or conflict. For each item, ask yourself: “If this were the only thing I accomplished today, would I be satisfied with my day?” “Will moving this forward make all the other to-dos unimportant or easier to knock off later?” Put another way: “What, if done, will make all of the rest easier or irrelevant?” Look only at the items you’ve answered “yes” to for at least one of these questions. Block out at 2 to 3 hours to focus on ONE of them for today. Let the rest of the urgent but less important stuff slide. It will still be there tomorrow. TO BE CLEAR: Block out at 2 to 3 HOURS to focus on ONE of them for today. This is ONE BLOCK OF TIME. Cobbling together 10 minutes here and there to add up to 120 minutes does not work. No phone calls or social media allowed. If you get distracted or start procrastinating, don’t freak out and downward-spiral; just gently come back to your ONE to-do.

There are two synergistic approaches for increasing productivity that are inversions of each other:

1. Limit tasks to the important to shorten work time (80/20).
2. Shorten work time to limit tasks to the important (Parkinson's Law).

The best solution is to use both together: Identify the few critical tasks that contribute most to income and schedule them with very short and clear deadlines.

Sneaking up on it sometimes helps: I’ve found I can be very productive for an hour before dinner, because there obviously isn’t enough time to really do anything, so I can tell myself I’m just screwing around.

You have 24 hours to invest each day: 1,440 minutes, no more or less. You will never have more time. If you sleep approximately 8 hours a day, you have 16 hours at your disposal. Some of those hours will be used to take care of yourself and your loved ones. Others will be used for work. Whatever you have left over is the time you have for skill acquisition. If you want to improve your skills as quickly as possible, the larger the dedicated blocks of time you can set aside, the better.
